Planning, Design, Coordination: What’s the Difference?

PLANNING VS. DESIGN VS. COORDINATION: WHAT'S THE DIFFERENCE?

If you've ever searched for event help and gotten lost in a sea of job titles (planner, designer, coordinator, stylist, etc.) you're not alone. These roles sound interchangeable, but they're not. Understanding the difference could be the most important thing you do before hiring anyone.

THE THREE ROLES, SIMPLY PUT

Event planning is the strategic backbone of your event. A planner works with you from the start - understanding and setting the budget, sourcing and managing vendors, reviewing and negotiating contracts, and keeping every moving part on track in the months leading up to your event.

Event design is the creative vision and designing the overall experience of the event. A designer crafts the look, feel, and atmosphere of your event - everything from colour palettes, florals, lighting, décor, signage, draping, spatial flow and more. Their job is to make your event not just functional, but emotionally memorable.

Event coordination is day-of execution. Production. A coordinator takes everything that's been planned and designed and makes it happen in real time. Think managing the timeline, directing vendors, handling any issues as they arise in real time, and making sure you never have to worry about a thing while you're actually there.

WHY YOU NEED ALL THREE

When one person tries to do all three jobs, something always suffers. The planner scrambling to style centerpieces at 6am can't be confirming catering deliveries. The designer managing the timeline can't give your florals the attention they deserve.

A full-service team (like Sachi & Maja) means every dimension of your event gets a dedicated expert. Your vision stays intact from the first planning call to the last dance. Problems get solved before you know they existed. And you, the client, actually get to enjoy the event you worked so hard to create.

The best events aren't just well-planned or beautifully designed or smoothly run. They're all three.
